A practical handover checklist for a software project

Project handover should leave the receiving team able to operate the product. Repository access is necessary, but it does not explain deployment, recovery or the decisions behind the system.

The decision that matters

Define what the next owner must do independently. Include deploying a small change, rotating a credential, restoring data and investigating a failed workflow. Document where configuration lives without placing secret values in the document. Identify subscriptions, domains and external providers that require ongoing ownership. A handover is incomplete when an essential account still depends on a departing contractor’s personal access.

A practical scenario

For a customer portal, run a handover exercise in which the receiving team invites a test user, updates a document and investigates a deliberately failed email. Ask them to follow the operating notes without live coaching. Any missing step becomes a documentation improvement. This exposes gaps that a static checklist marked complete may hide.

Before you ship

  • Confirm repository, hosting, domain and provider ownership.
  • Demonstrate a deployment and a recovery procedure.
  • Record known limitations and the support responsibility after delivery.

A useful next step

Finish with a short operational walkthrough led by the receiving team. Keep the runbook close to the repository and assign an owner for future updates. Handover quality is demonstrated by what the new owner can do, not by the size of the final document.
